Start with a small, known set of orders

Prepare three supervised examples using your own menu: one table whose bill is settled, one table still ordering and one paid takeaway order waiting at the collection point. Write the order references on your rehearsal sheet. Ask the outgoing cashier to explain which transaction is complete and which restaurant task remains unfinished. Do not equate a printed bill with a confirmed payment, or a confirmed payment with a parcel already handed to its customer.

Review each payment method separately

Use test amounts agreed with the demonstrator; no real customer payment is needed. Compare the recorded payment method for the settled order with the sample evidence used in the exercise. Ask how cash, card and UPI are entered and reviewed in your intended setup. Confirm which steps are manual and which, if any, are connected to a payment provider. A billing demonstration should not silently assume that a payment screenshot or notification is automatically reconciled by the POS.

Write the unfinished work in plain language

For the open table, note its reference, what has been served and the next action. For the paid parcel, note who will verify its contents and collection. Have the incoming cashier repeat those actions back before the outgoing person leaves. Keep this handover free of unnecessary customer details. If the proposed software has a suitable screen or report, demonstrate it; otherwise agree the short operational record your team will use alongside billing.

Make one late addition after the handover

Have the incoming operator add a drink to the open table, following the supported workflow. Ask the kitchen or drinks counter to identify the new instruction, then compare the final bill with the items entered before and after handover. The already settled order and paid parcel should remain separate. Use this step to check whether staff understand the boundary between continuing an open order and changing a completed transaction that may require a different approved process.

Review a mismatch before accepting the setup

Introduce one written discrepancy into the rehearsal sheet, such as an order described as cash while the sample payment evidence says otherwise. Ask the operator to locate the reference and explain how the discrepancy should be reviewed. Do not change records merely to force two totals to match. Keep the exception visible with a person responsible for resolving it. Bring the completed sheet to your demo follow-up and use the day-end checklist to agree how the actual closing routine will work.
