Change who collects a takeaway without creating another order

Keep the order reference when the collector changes
Begin outside service with fictional takeaway N8: three meals at a training price of Rs.140 each, giving an item subtotal of Rs.420 before configured taxes, discounts or other charges. The guest originally planned to collect personally, but calls to say a colleague will come instead. This request adds no meals and does not create a new payment. Locate N8 first, then use your restaurant's agreed method to establish that the request concerns that order. A familiar first name alone is insufficient when two people may share it.
Record an agreed handover, not a second food request
The person accepting the change should note the N8 reference, that an alternative collector is expected, when the change was accepted and who acknowledged it. Use a supported staff note or a clearly identified manual handover record. Share only the details needed by the counter staff; do not announce a full phone number to the queue or put private information on a public screen. Demonstrate any collection-code or identity-check feature separately. This exercise does not claim that DeccanPro automatically authenticates a substitute collector or sends an OTP.
Keep the kitchen's preparation unchanged
Ask the kitchen lead to read the current instruction: three meals for N8. If all three are already packed, changing the collector does not mean packing three more. If one meal is unfinished, the order still needs that one meal, not a fresh set of three. Where the kitchen also hands over parcels, tell that staff member about the collector change through the same agreed process. The original order reference must remain the connection between kitchen preparation, packing and collection.
Check the payment record independently
Introduce two training cases. In the first, the restaurant's record confirms Rs.420 has already been received for N8. Staff should not ask for another Rs.420 simply because a different person arrives. In the second, payment has not been confirmed; the counter follows the restaurant's approved payment procedure before treating the order as paid. A collector saying “my colleague paid” or showing an unrelated screen is not a substitute for reconciling the actual restaurant record. Ask the demonstrator how an uncertain or pending payment is resolved in your setup. No automatic bank confirmation is implied.
Resolve a mismatch before handing over the bags
Have the substitute collector arrive and ask for four meals. The saved N8 order contains three. The cashier checks the original request and any accepted changes before adding food or handing over a different quantity. If the guest approves one extra meal and the kitchen confirms availability, it is a separate addition of Rs.140, making four meals and a sample subtotal of Rs.560. Record and check that update through the demonstrated procedure. If no addition is agreed, the order remains three meals; changing the collector never silently changes the quantity.
Make the completed handover visible to the next colleague
Once the correct order is handed over, record collection using the restaurant's supported process. Then introduce a second person asking for N8 while another cashier takes over. The incoming cashier should be able to establish whether it was already collected and who handled the handover before any further food is released. Do not use an old KOT or a still-visible order alone as proof that collection remains outstanding. Bring your actual packing routine and shift handover to the Neelankarai demo, and ask staff to explain this scenario from the records without prompting.
