Coordinate the last two portions before promising a guest

Count what can still be promised
Begin outside live service with fictional orders and training quantities. The kitchen confirms two portions of a special meal remain unallocated. Captain A receives a request for two portions at table P4; cashier B receives a separate takeaway request for one. Three requested portions cannot be promised from two available portions. Ask who will confirm the allocation before either staff member assures a guest that the meal is available.
Make one person responsible for the allocation
For this rehearsal, appoint the kitchen lead to confirm availability against the two order references. The lead allocates both remaining portions to P4 and tells the cashier that the takeaway request needs an alternative. Keep the order references, allocated quantity and staff acknowledgement together in the agreed service record. This is a manual coordination exercise. It does not claim automatic stock reservation, recipe-based deduction or prevention of simultaneous orders in DeccanPro. Ask the demonstrator to show the actual supported controls separately.
Check the difference between a request and an accepted order
Inspect the takeaway record before making a correction. If the special meal was only requested verbally and never saved, there is no saved line to remove. If it was already entered, use the demonstrated correction procedure and tell the kitchen which reference is affected. Confirm whether preparation has begun before cancelling or replacing anything. Do not erase or change the two accepted portions on P4 simply because the same menu item appears in both orders.
Agree the alternative and compare the amount
Use practice prices of Rs.160 for the special meal and Rs.120 for a regular meal. P4 retains two special meals: Rs.320. The takeaway guest agrees to one regular meal: Rs.120. If the takeaway guest had already paid Rs.160, record the Rs.40 difference and demonstrate the restaurant’s approved adjustment or refund process with training data. A changed item total does not prove money was returned. If no payment was taken, check that the accepted takeaway order has the intended Rs.120 amount. All figures are item subtotals before configured taxes, discounts or other charges.
Confirm the kitchen no longer sees three specials to prepare
Ask the kitchen operator to explain the current work without verbal hints: two special meals for P4, one regular meal for the takeaway reference. Match any earlier KOT to the supported correction and ensure a stale copy does not become another preparation instruction. Tell every person taking orders that the special is unavailable through the agreed process. Demonstrate any menu-availability control on the actual captain and counter screens instead of assuming that a change reaches every device immediately.
Bring an availability handover to the Palavakkam demo
Bring a small menu, the two staff roles and an example of how the kitchen currently reports limited quantities. Record who confirms availability, when an order becomes accepted and where staff check an uncertain payment. Repeat with your own menu names and prices, then have an incoming colleague explain what remains available from the records. If the restaurant later prepares a fresh batch, agree who authorises reopening the dish for new orders. Do not mistake an old cancellation or a screen refresh for evidence that more food exists.
